Administrative Assistant: Full Time

Essential Job Functions: The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Shown are duties intended to provide a representative summary of the major duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.  

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with parents, students, and staff.

  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries

  • Schedule meetings and appointments, ensures executive management is prepared and in possession of materials and information required for meetings, conferences and other scheduled events, maintains list of professional contacts

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

  • Monitors workflow and assignments, follows up to ensure accurate and timely completion of work

  • Maintains customer confidence and protects operations by keeping information confidential.

  • Maintain an organized filing system of paper and electronic documents

  • Develop and sustain a level of professionalism among staff and clientele

  • Prepare reports, correspondence and presentations. Maintains confidential files

  • Arrange school events to take place outside of the work place, such as fund-raising events and staff appreciation events, complete special projects and other duties as assigned

  • Explain nature of GTA programs, procedures and services to parents; maintains absolute confidentiality of work-related issues, student records and GTA information

  • Supports the relationship between GTA and the constituent population by demonstrating courteous and cooperative behavior when interacting with parents, visitors, and GTA staff

  • Enthusiastically promotes the Principal/Board’s priorities for the operations of GTA


Knowledge and Skills:

  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software (i.e. Sycamore Education, Google Drive)

  • Proficiency in collaboration and delegation of duties

  • Exemplary planning and time management skills

  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities

  • Exceptional interpersonal skills

  • Friendly and professional demeanor

  • Ability to know and adhere to GTA policies and procedures

  • Exceptional skill in organizing work and detail orientation

  • Proficiency in making accurate calculations, analyzing data and creating appealing reports, documents and presentations.

  • High level verbal and written communications skills, proficiency in English

  • Exceptional ability in interacting with people of different social, economic, and ethnic backgrounds

  • Attend on and off campus events and meetings
